INSTRUCTIONS
1 . Entry:
(a) Supervisor stamp serial containing entry intormation, check entry, initial and route to NCiC operator.
(b) NCIC operator make local and/or NCIC checks including III for additional information, make entry, route serial and printout to rotor clerk. (NCtC
operator may stamp jacket, insert NCIC Activity Log as top serial in file and complete “entry" line.)
(c) Rotor clerk serialize printout, stamp Jacket, ir^sert NCIC Activity Log as top serial in file and complete “entry” line if not already accomplished by NCIC
operator. Note: NCIC Activity Log is to be maintained as the top seriaf in the current Volume of case fife.
2. Modify:
(a) Supervisor stamp serial contair^ing modify information, check modify, inittaf and route to NCIC operator.
(b) NCIC operator modify record, route serial and printout to rotor clerk. (NCIC operator may complete “modify” line on NCIC Activity Log.)
(c) Rotor clerk serialize printout and complete “modify” line on NCIC Activity Log, if no! accomplished by NCIC operator.
3: Clear/Cancef:
(a) NCIC operator clears/cancels record upon notification by case agent or supervisor, routes printout to rotor clerk. (NCJC operator may complete
“clear/cancei” line on NCIC Activity Log.)
(b) Rotor clerk serializes printout, completes “clear/cancer’ line on NCIC Activity Log and makes slash marks (NCIC) through NCIC stamp on Fite jacket.
4. Validation:
(a) When validatiorv prmtout is received from NCIC, an agent (or clerk if case is in closed status) wilt review fhe NCIC entry to insure that if is corhplete
and accurate. Any discrepancy should be resolved by an appropriate agent and, if necessary, a modify message should be initiated to update and/or
correct the record. When validation is complete, reviewer will date and initial NCIC ActiviTy Log.
5. Retention Periods:
Unless otherwise removed, records wilt be retained in file as follows:
Article File
Remainder of the year of er^try plus one year
Boat File
Remainder of the year of entry plus four years.
Records entered without BHN or OAN will remain in fife 90 days.
Canadian Warrant File
Retained indefinitely until entering agency removes record from file.
Gun File
Retained indefinitely until entering agency removes record from file.
Recovered weapons are retained for the remainder of the year of entry plus two years.
IH File
Retained until the individual reaches the age of 80.
License Plate File
Retained in fife for one year after the end of the plate's expiration year.
Non expiring license plates remain in file for the remainder of the year of entry plus four years.
Missing Person File
Retained indefinitely until action is taken by the entering agency to clear the record. This includes unemancipated juvenile records.
Securities File
Retained for the remainder of the year of entry plus four years, except records for traveler’s checks and money orders. These records will be
retained for the remainder of the year of entry plus two years.
U.S. Secret Service Protective File
Retained indefinitely until action is taken by the U.S. Secret Service to remove it.
Unidentified Person File
Retained for the remainder of the year of entry plus nine years.
Vehicle File
Retained for the remainder of the year of entry plus four years.
Records entered which do not contain VlNs or OANs will remain in file for 90 days after entry.
Felony vehicles wilt remain in file for 90 days after entry.
Stolen parts (VIN plates, harrows, or boat motors) which contain an OAN or SER will remain in file for the year of entry plus four years.
Wanted Person File
Retained until action is taken by the originating agency to clear the record.
Temporary felony want records will be automatically removed from file after 48 hours.

STOLEN OR “RECOVERED” GUN ENTRY
Only serially numbered guns may be entered In NCIC. Where theft involves a group of guns which are identical except for non-
consecutive serial numbers, complete one form and attach a list of the nonconsecutive serial numbers.
A recovered gun for which no lost or stolen report is on file in NCIC may be entered as a "recovered" gun.
1 . Check EG block indicating entry is a stolen gun or ERG block indicating entry is a "recovered" gun.
2. Field Office Identifier (ORI) - Enter field office identifier.
3. Serial # (SER) - Starting with first space on the left fill in spaces with the complete serial number. (Insure that any letters
which are part of the number have been listed.) Where more than one serial number appears on a firearm, enter the frame
number as the serial number.
4. Make (MAK) - Enter appropriate code or clearly print the make of the gun on line provided. Refer to NCIC Operating Manual
for assistance in entering U.S. military, U.S. Government and firearms of unknown make.
6. Model (MOD) • Indicate the model of the gun using number or name.
6. Caliber (CAL) - The appropriate gauge (or bore) should be entered as caliber of a shotgun. Decimal points should not be
used, e.g. Caliber .32 - code as 32; Caliber 7.62 mm - code as 762; 16 guage • code as 16; etc.
7. Type (TYP) - Enter appropriate code or clearly print a description of the gun on line provided, e.g. rifle, bolt action; shotgun,
double barrel; pistol, atuomatic; pistol, revolver, etc.

pump, vehicle part aircraft, type of vehicle is a Boeing 727,
Serial Number MX196804, part number AF19570C, volume 400cc,
voltage 115V, length 20", height six or seven inches, weight 40
lbs., color gray, material cast iron.

contained the captioned pump. Reports on the recovery of the

this case be administratively closed, until there is any
additional information that would merit reopening the case. (
